How to use Cohort Actions 

 Overview

 Cohort Actions automate what happens to a member when they are added to a cohort. You can configure actions to enroll members in a drip campaign, assign or remove attributes, move members between cohorts, update their recruitment pipeline status, or remove them from the cohort entirely — all triggered automatically at the moment of cohort membership.

Actions apply to members added after the action has been configured. Members already in the cohort when an action is set up are not affected unless you use an Audience Segment to retroactively apply the action.

Before You Begin

  • You must be assigned to the cohort with a Faculty/Staff role or above to access the Actions tab.
  • Drip campaign actions require that the drip campaign already exists before it can be selected.
  • Attribute actions require that the relevant attributes are already configured in your institution.

How to Access Cohort Actions

  1. Navigate to CRM & Cohort Center in the left navigation menu.
  2. Click Cohort Admin Center.
  3. Locate the cohort and click its name to open the Cohort Details page.
  4. Select the Actions tab.

Automatically starts the selected drip campaign for the member when they join the cohort

Stop Drip Campaign on Leave

Automatically stops a drip campaign for a member when they are removed from the cohort

Assign Attribute

Adds the selected attribute to the member's record when they join the cohort

Remove Attribute

Removes the selected attribute from the member's record when they join the cohort

Add to Cohort

Adds the member to an additional cohort when they join this one

Remove from Cohort

Removes the member from another cohort when they join this one

Set Recruitment Status

Updates the member's recruitment pipeline status when they join the cohort

How to Add an Action to a Cohort

  1. On the Actions tab, click Add Action.
  2. Select the Action Type from the dropdown.
  3. Configure the action settings based on the type selected (see details below).
  4. Set the Match Type to control which members the action applies to (see Match Type section below).
  5. Click Save to activate the action.

Multiple actions can be added to a single cohort. They are evaluated independently and all applicable actions will run when a member is added.

Configuring Each Action Type

Enroll in Drip Campaign

Select the drip campaign you want to enroll new members in. When a member is added to the cohort, they are automatically enrolled in the campaign and will receive the campaign's messages according to its schedule.

Stop Drip Campaign on Leave

Select the drip campaign that should stop when a member leaves the cohort. When the member is removed from the cohort, their participation in the campaign ends immediately — no further campaign messages will be sent to them.

The start and stop actions are independent and must each be configured separately. Having an "Enroll in Drip Campaign" action on a cohort does not automatically stop that campaign when a member is removed. If you want the campaign to stop when a member leaves, you must explicitly add a "Stop Drip Campaign on Leave" action. Without it, removed members will continue receiving campaign messages.

The stop action and the enroll action do not need to reference the same campaign. You can use a stop action to end a campaign from a different cohort as part of a larger handoff workflow.

Use this action alongside an Enroll action on a different cohort to create a smooth campaign handoff when members graduate from one cohort to the next.

Assign Attribute / Remove Attribute

Select the attribute to assign to or remove from the member's record. Attribute actions are useful for automatically tagging members as they move through a program, or for triggering other attribute-based automations elsewhere in the platform.

Add to Cohort / Remove from Cohort

Select the target cohort. When a member joins this cohort, they are automatically added to or removed from the selected cohort. This is useful for managing cohort transitions — for example, automatically removing a member from a "Prospective" cohort when they are added to an "Enrolled" cohort.

Set Recruitment Status

Select the recruitment pipeline status to set for the member. When the member joins the cohort, their recruitment status is updated to the selected value. Available statuses are configured by your ConexED Administrator in the Recruitment Pipeline Settings.

Available status options include: Interested, Applied, Accepted, Admitted, Enrolled, and Deferred.

Match Type — Controlling Which Members Are Affected

Each action can be scoped using a Match Type. This lets you apply an action only to members who meet specific attribute criteria, rather than applying it to every member who joins the cohort.

To add conditions, click + Add Condition after selecting a match type other than All Members. Select the attribute and value for each condition.

Applying Actions to Existing Members

Cohort Actions only run automatically for members added after the action is configured. If you need to apply an action to members already in the cohort:

  1. Create an Audience Segment and add the existing cohort members to it.
  2. Use the Audience Segment to trigger the desired action (such as starting a drip campaign).

Members subsequently added to the cohort will receive the action automatically and do not need to be added to the Audience Segment.

Things to Know

Actions are not retroactive. They apply only to members added after the action is saved.

Multiple actions can coexist. A cohort can have any number of actions configured. All applicable actions run when a member is added.

Drip campaign enrollment requires the campaign to already exist. Create the campaign first, then add the Cohort Action.

Removing an action does not undo what has already been applied to existing members — for example, removing an "Enroll in Drip Campaign" action does not unenroll members already in the campaign.

Drip campaign stop is not automatic — it requires a separate action. If a cohort has "Enroll in Drip Campaign" configured but no "Stop Drip Campaign on Leave" action, removing a member from the cohort will not stop their campaign. Campaign messages will continue to be sent until the campaign completes or is manually stopped.

Re-adding a removed member restarts the drip campaign from the beginning. If a member is removed from the cohort (and a stop action ends their campaign), then later re-added, the "Enroll in Drip Campaign" action starts them at Step 1 — the campaign does not resume from the step where it was stopped. Plan your campaign content accordingly if members may cycle in and out of a cohort.
