SMS and Email Quiet Hours

Overview

Quiet Hours holds back SMS and email that would otherwise land in the middle of the night. Anything scheduled to send between 9 PM and 8 AM in the student's own time zone waits and goes out after 8 AM instead. There is nothing to switch on, and nothing to configure — though a number of message types are exempt, listed below.

At a Glance

  • Quiet hours window: 9 PM – 8 AM, in the recipient's local time zone
  • What gets held: Most SMS and email scheduled to send during that window — see the exceptions below
  • When held messages go out: After 8 AM in the recipient's time zone
  • Configuration required: None — it is automatic
  • Adjustable per institution? No — it is the same across the platform
  • Applies to: SMS and email sent through the standard notification system, including drip campaign steps

How It Works

The window is measured against the student's time zone, not your institution's. A message scheduled for 10 PM Eastern is held for a student in the Pacific time zone, because it is 7 PM there and still inside the window; for a student far enough east that 10 PM Eastern is already past 8 AM, it sends straight away.

In a drip campaign, a step that would fire during someone's quiet hours is held and delivered at 8 AM their time. The rest of the campaign carries on as scheduled — later steps are not pushed back to make room. The practical effect is that two students enrolled at the same moment can receive the same step at different clock times.

Quite a few messages are treated as too time-sensitive to hold, and send whatever the hour:

  • Appointments — booking confirmations, appointment requests, reschedules, cancellations, and reminders to both the student and the staff member.
  • Queues — the confirmation when someone joins an in-person or remote queue, the "you're first in line" notice, the "join now or lose your spot" notice, and Open Lab Tutoring check-in confirmations.
  • Signing in — password resets, welcome and set-password emails, Hub and Campus Anywhere magic links, and chatbot verification codes by email or text. Magic links expire in ten minutes, so holding them would make them useless.
  • CRM Registration Forms — the emails attached to each review outcome (Manual Review approved and denied, Auto Approve, and every Cohort Decision outcome), and the confirmation a student gets for submitting a form.
  • Anything a staff member sends by hand, or that answers something a student just did — surveys sent manually from Appointment Manager, follow-up emails after a chat session, automatic replies to a student's incoming text, SMS template previews you send to yourself, and FTP export results you requested.

Held until 8 AM, by contrast: end-of-meeting surveys, surveys sent at the midnight kiosk auto-checkout, Messaging Center conversation messages, drip campaign steps, and any other notification not listed above.

Things to Know

  • Quiet Hours cannot be turned off or shifted for a single institution. If the window is a problem for your campus, raise it with your ConexED account team.
  • Quiet Hours covers both SMS and email sent through the standard notification system.
  • If a student's profile has no time zone, the platform uses your institution's default. If that is not set either, it falls back to Mountain Time, which can mean a message landing earlier or later in their evening than you expect.
