Understanding Check-in Kiosk Settings

Overview

Group Managers and above can customize the Check-In Kiosk settings for each group. These settings control how the Live Monitor View appears for students and how the student check-in process works. Settings are configured per group within the Check-In Kiosk tab.

How to Access Check-In Kiosk Settings

  1. Navigate to your group's Check-In Kiosk tab.
  2. Scroll down to the Kiosk Settings section.

Live Monitor View Settings

The Live Monitor is a public-facing display that shows students their place in the queue and who is currently being served. These settings customize what information is shown.

Live Monitor Columns 1, 2, & 3
Select the information to display in the Waiting in Queue section of the Live Monitor. Choose from:

  • Full Name
  • Username
  • Phone Number
  • Student ID

Then select how many characters to display for the selected field (1–9, or ALL).

Live Monitor Now Serving
Select the field to display in the Now Serving section of the Live Monitor. Choose the number of characters to display (1–9, or ALL).

Live Monitor Time in Queue
In the Waiting in Queue section, choose whether to show:

  • Estimated Wait Time — how long the student can expect to wait
  • Position in Queue — the student's place in line

Kiosk Check-In Settings

These settings control specific behaviors during the student check-in process.

Allow Student to Select Moderator in Kiosk
When enabled, students can select their preferred staff member when checking in. When disabled, students are assigned to the next available staff member automatically.

Kiosk Early Check-In Window
Sets how early a student can check in for a scheduled appointment using the kiosk.

  • Select Same Day to allow check-in at any time on the day of the appointment.
  • Or select a specific window from 10 minutes to 6 hours before the scheduled start time.

Kiosk Late Check-In Cutoff
Sets how long after an appointment's scheduled start time a student can still check in.

  • Select Meeting Start to prevent late check-in entirely.
  • Or select an extension from 5 minutes to 2 hours after the scheduled start time.

Show Intake Form in Kiosk
When enabled, the group's Appointment Intake Form is displayed to students during queue check-in.

Audio Alert for Drop-In Students
When enabled, an audio notification plays when a student joins the Live Queue. This alerts staff that a new student is waiting without requiring them to watch the screen constantly.

Allow SMS Checkout (per-kiosk setting)
When enabled, students receive an SMS notification when they are checked out of a queue meeting or tutoring session. This setting can be turned on or off individually for each kiosk location.

Ask for Additional Info During Queue Check-In (Show Check-In Notes) (feature flag)
When this feature flag is enabled for your institution, a toggle appears in kiosk settings to control whether students are prompted to enter additional notes during queue check-in. This can be enabled or disabled per kiosk.

Things to Know

Settings apply per group
Kiosk settings are configured separately for each group. If your campus has multiple groups using kiosks, settings must be set for each group individually.

Live Monitor settings are for display purposes only
The Live Monitor display settings control what students see on a shared screen. They do not affect what staff see on the Kiosk Dashboard.

Check-in window settings apply to scheduled appointments only
The Early Check-In Window and Late Check-In Cutoff settings apply only to students checking in for pre-scheduled appointments. Drop-in queue check-ins are not affected by these settings.
