Understanding Kiosk and Queue Settings in the Admin Panel
Overview
This is a reference for every kiosk setting available to you in the Admin Panel: what each one means, whether you need it, and what it does when it is on.
Where these settings live
Your kiosks are created by ConexED. A member of the ConexED team generates the kiosk's permalink — the web address a device opens to run the kiosk — and from that point the settings below are yours to configure.
To reach them, click the gear icon in the top toolbar to open the Admin Panel, then click Kiosks in the left menu. The Kiosks page lists every kiosk at your institution. The pencil icon in the Actions column opens the Edit Kiosk window for that kiosk.
The Kiosks page
Each row is one kiosk. The columns are:
School
The institution the kiosk belongs to.
Name
The kiosk's name, as set in Kiosk Name below.
State
Whether a device currently has the kiosk open, the web address that device loads, and when the page was last loaded. A kiosk no device has ever opened reads Never Used.
Status
Whether the kiosk is enabled.
Actions
The pencil icon opens the Edit Kiosk window.
Edit Kiosk — basic configuration
Kiosk Name — required
The name of the kiosk, shown on the kiosk banner while a student is using it. This is the only required field. Most campuses name a kiosk for the service area, department or group it serves.
ID
A number assigned when the kiosk is created. Read-only, and useful when you need to identify a specific kiosk to ConexED support.
Institution
The institution the kiosk belongs to.
Department
The department of the group that will use this kiosk. Choosing a department fills the Group list with that department's groups. Leave it empty for a kiosk that spans departments — see Accessible Groups below.
Group
The group the kiosk is assigned to. Choosing a group fills the Location list with that group's locations.
Location
The location where the device will be used.
Accessible Groups — defaults to All Groups
Which groups a student can reach from this kiosk. There are three settings:
- All Groups — the default. The student can reach any group.
- All Groups in Same Department — the student chooses from the groups in the selected department. Set the Department and leave Group and Location empty.
- Specific Groups — the student chooses from a list you build. Leave Department, Group and Location empty, then use the Choose Groups button to search for and add each group.
For either multi-group setting, turn on Has Search so the Search icon appears and students can move between groups.
Feature toggles
Each toggle turns one feature on or off on the student-facing kiosk screen. Every toggle is off on a newly created kiosk — a kiosk does nothing until you choose what it offers. They appear in the Edit Kiosk window in the order below.
Two of them appear only when the feature is enabled for your institution. When it isn't, the toggle is not in the window at all rather than greyed out — so a kiosk window with fewer rows than this list is normal.
Show Guest Login Option
Adds a Guest Login button to the sign-in screen so a visitor can check in without a Student ID.
Allow Quick Check-In
The student signs in with their name and phone number. A Student ID field is offered but optional. If the Student ID entered matches an existing account, the student is signed into that account for the session. If it is left blank or matches nobody, a new account is created with the Kiosk Guest role, using a placeholder email address. Not compatible with Has Clock-In — when Has Clock-In is on, Quick Check-In does not appear on the student screen even with this toggle on.
Quick Check-In Goes to Dashboard
After a Quick Check-In, the student lands on the kiosk dashboard instead of continuing through the standard check-in flow.
Allow Registration
A guest can create a full ConexED account from the kiosk.
Allow Magic Link Sign-In
Turns on Magic Link guest sign-in. A one-time sign-in link is sent to the guest's email address, phone number, or both.
Has Queue
Students can join the Live Queue from the kiosk.
Ask for Additional Info During Queue Check-In — enabled via feature flag per institution request.
Prompts the student for additional notes while they check into the queue. Contact your ConexED implementation contact to have it turned on.
Has Preferred Location — enabled via feature flag per institution request.
Lets the student indicate a preferred meeting location when joining the queue. The preference appears in the Check-In Kiosk Dashboard, where a moderator can change it. Contact your ConexED implementation contact to have it turned on.
Has Appointment Check-In
Students can check in for a scheduled appointment.
Has Clock-In
Student workers can clock in and out of their positions. Suppresses Quick Check-In — see above.
Has Schedule
Students can schedule a new appointment from the kiosk.
Has Search
Adds the Search icon so students can move between groups. Required for any multi-group kiosk.
Has Appointment
Students can see their upcoming scheduled appointments.
Has RFID Reader
Students tap a student ID card to sign in.
Has Magstripe Reader
Students swipe a student ID card to sign in.
Has QR Scanner
Students scan a QR code to sign in.
Has QR Code
Displays a QR code on the kiosk screen for students to scan.
Has Student ID Login
Students sign in by typing their Student ID number. This is the standard sign-in method.
Has Auto Logout
Controls whether a student can stay on the kiosk after checking in. The sign-out countdown runs either way, and signs the student out 10 seconds after a check-in. With this toggle off, Continue Using Kiosk appears alongside Exit Kiosk and the student can stay. With it on, only Exit Kiosk appears, so every session ends — which is what you want on a shared front-desk device.
Whichever way a student leaves — the sign-out button in the kiosk footer, Exit Kiosk on the inactivity warning, that warning's countdown running out, or the confirmation screen after checking in — the kiosk returns to its own start page, ready for the next student.
Allow SMS Checkout
Students can check themselves out of a queue or tutoring session by text message.
Has Queued Tutoring
Students check into a tutoring queue for one of their enrolled courses. This feature requires an integration. Mutually exclusive with Has Open Lab/Tutoring — turning one on greys out the other. Contact your ConexED implementation contact or Account Manager for more information.
Has Open Lab/Tutoring
Students check in and out of a managed lab or tutoring environment where they can come and go as needed. This feature requires an integration. Mutually exclusive with Has Queued Tutoring. Contact your ConexED implementation contact or Account Manager for more information.
Tutoring Settings
This section is always present in the Edit Kiosk window, below the feature toggles, whether or not either tutoring toggle is on. Its settings take effect for tutoring check-ins.
Auto Check-Out
Checks a student out of a tutoring session when they have forgotten to do it themselves. For example: after 6 hours, check the student out and record the session as 1 hour.
Auto Check-Out After — defaults to Disabled
How long to wait before checking the student out.
Auto Check-Out Duration — defaults to Disabled
What session length is recorded when the student is checked out automatically. Stays unavailable until Auto Check-Out After is set.
Limit Offered Courses
A student checking in for tutoring is offered the courses they are enrolled in, limited to courses that are currently running and have tutoring enabled. Use Select Courses to narrow that further — the kiosk then offers only the courses you choose.
A student with no enrolled courses sees no course choices. Institutions can have a fallback enabled that offers all currently running tutoring-enabled courses instead; contact your ConexED implementation contact if you need it. Where that fallback is on, your Select Courses limit still applies to what the student is shown.
Please note: when only one course ends up being offered, selecting it checks the student in straight away, with no confirmation step.
Resource Check-In
Enable Resource Check-In — off by default
Lets students check in and out of one resource at a time from the kiosk.
Enable Time Tracking — off by default
Records how long each resource check-in lasts.
Auto Check-Out After — defaults to Disabled
With time tracking on, checks the student out of the resource after this long. The reason code's own duration is recorded as the session length.
Theme Customization
This section replaces the default wording on the student-facing kiosk screens — useful when your campus says "Member ID" rather than "Student ID", or wants its own phrasing on a welcome screen. Every field is optional, and a field left empty keeps the default wording.
To remove a piece of text rather than replace it, enter a single space. HTML is not supported.
