Understanding the Check-In Kiosk Dashboard
Overview
The Check-In Kiosk Dashboard is where staff see and manage everyone waiting for help. Students arrive there in two ways: by checking themselves in at a kiosk, or by a staff member adding them with Add Student to Queue — common at a front desk, where someone speaks to the student and puts them in the queue. No kiosk device is required to use the queue.
At a Glance
- Who uses this: ConexED Administrator role, Department Director, Group Manager, Faculty/Staff and Front Desk Agent
- Where: Your group's Check-In Kiosk tab → find the kiosk location → click Dashboard
- What it shows: Two sections — Active Meetings and Live Queue
- Prerequisites: The group must have a kiosk location set up
How It Works
Opening the dashboard
From your group, open the Check-In Kiosk tab. Each of the group's kiosk locations appears as its own card showing People in Queue and Longest Wait Time, with Dashboard and Live Monitor View buttons. Click Dashboard for the location you are working at.
Staff with a Group Admin placement or an administrator role also see the Kiosk Settings and monitor settings above those cards, so they need to scroll down to reach the Dashboard button.
A group can cover more than one physical location. A financial aid team of eight floating across four campuses might run a single group with four kiosks — the Check-In Kiosk tab then shows a card for each one, and staff open the dashboard for wherever they are that day.
Once open, the dashboard is headed Check-In Kiosk Dashboard for [location name], with Return to Overview and Open Live Monitor View buttons at the top.
The two sections
Active Meetings lists students who are currently checked in and meeting with a moderator. Each row shows the student's name, Student ID, moderator, location, meeting start time and selected reason code.
Live Queue lists students who are waiting. Each row shows the student's name, moderator, wait time, estimated wait time, Student ID, phone number, check-in notes and selected reason code. A Preferred Location column also appears when that feature is enabled. The moderator column shows either an assigned moderator's name or Next Available.
Estimated wait times
Estimated wait times are calculated from the reason code the student selected at check-in and current queue activity. The Live Queue shows them as their own column.
A separate group setting controls what students see on the Live Monitor: Live Monitor Time in Queue, with a choice of Estimated Wait Time or Position in Queue. It does not change what staff see on the dashboard. The setting is under the group's Check-In Kiosk tab, in Kiosk Settings.
Actions in the Live Queue
Each student row has an Actions column. Hover over any icon to see its label.
- Remove from Queue — the red X icon. A confirmation message appears first. Once confirmed, the student is removed and no longer displayed. Use this when a student has left without being seen or no longer needs help.
- Mark as No Show — the navy crossed-out eye icon. Marks the meeting as a no-show. Use this when a student was expected but did not arrive.
- Send SMS — the purple speech bubble icon. Sends a text message to the student from the Live Queue. Available only if the student has opted in to SMS in their own Profile Settings; otherwise the icon is disabled.
- View Appointment Details — the navy magnifying glass icon. Opens the Appointment Details window, where you can view and edit meeting information, add notes and reason codes, complete the Staff Review Form, and check the student out.
- Edit Check-In Details — the navy pencil icon. Changes the student's check-in information without opening full Appointment Details. From here you can update reason codes, add or edit Check-In Notes, transfer the student to a different queue, and update SMS preferences by selecting The student has agreed to receive text messages (SMS).
- Check In — the green arrow icon. Begins the student's meeting. If the student chose a specific person, it reads Check In: [Moderator's Name] and checks them in with that moderator. If the student chose Next Available, it reads Check In: Select a Moderator and opens the Select Meeting Moderator window, listing Available Moderators. Pick one and click Assign Attendee.
- Check in with yourself — the yellow lightning bolt icon, which reads Check In: [your name] on hover. It appears for staff whose role allows them to take a meeting, and checks the waiting student in for a meeting with you, even without Drop-In Office Hours configured.
Please note: a moderator appears in the Select Meeting Moderator window only if they have Drop-In Office Hours set up for the group and the meeting's reason code has Show in Queue set to Show. If nobody is available, a message says so.
Things to Know
Transferring a student to a different queue
Use Edit Check-In Details to move a student to a different queue location within the same group. You can also move them to a different group, if the kiosk is configured for more than one.
Students checked in for a specific moderator
If a student joined the queue for a particular moderator who is no longer available, you can reassign them through Edit Check-In Details.
SMS availability
The SMS icon reflects the student's current opt-in status. Staff cannot override it from this screen — students manage their own SMS settings in their Profile Settings.
Use Cases
An advising office running drop-ins alongside scheduled appointments
Advising takes both scheduled appointments and walk-ins. Students who arrive without an appointment check in at the kiosk and choose a reason code, which sets their estimated wait time. Advisors watch the Live Queue between scheduled meetings and use the lightning bolt to check in whoever is waiting.
A One Stop triaging students at the front desk
A large One Stop area covers several service areas at one counter. Front Desk Agents speak to each student as they arrive and add them with Add Student to Queue, selecting the reason code that matches what the student needs. The reason code is what routes the student, so no kiosk device is needed for this to work. If needed, the agent reopens Edit Check-In Details and changes the reason code or transfers the student to another queue.
A financial aid office where some students need a specialist
Most students at the counter are helped by the Front Desk Agent who checks them in. Others — scholarship recipients, for example — need a financial aid Moderator instead. Those students sit in the Live Queue with Next Available in the moderator column, or with a specific person's name if they chose one at check-in. Staff click the green arrow, pick from Available Moderators, and click Assign Attendee. If the student checked in for a moderator who is no longer available, Edit Check-In Details reassigns them.
An academic support lab offering more than one kind of help
A tutoring lab runs scheduled sessions and drop-in tutoring from the same space. Reason codes separate the services at check-in, so the Live Queue shows at a glance who is waiting for what, and estimated wait times stay accurate per service. Tutors use the dashboard to see who is waiting and check students in as they become free.
