By customizing your Personal and Group calendar views, you can easily manage your schedule and stay organized according to your preferences. Whether you need a detailed overview of your Group's daily schedule or a quick glance at upcoming appointments, there are various options available to cater to your scheduling needs. Personalize your calendar views to optimize your productivity and ensure that you are always prepared for the day ahead.
Group Calendar Views
To change your Group Calendar view, navigate to your Group Calendar and click on the dropdown menu located next to the Group Calendar Settings icon (the two small gears):
Here, you can choose from four different Group Calendar views:
Day: In the Day View, you can get a detailed overview of your Group's daily schedule. This view allows you to see Office Hours, Events/Workshops/Classrooms, Appointments, and Busy Events for each Faculty/Staff member in your Group.
From the Group Calendar Day View, Front Desk Agents and higher have the ability to create Appointments for other Faculty/Staff members in the Group during designated Office Hours. Additionally, Faculty/Staff members can create Appointments for themselves, whether they have Office Hours configured or not.
Front Desk Agents and higher can also create Workshops and Busy Events for Faculty/Staff members in their Group.
Please be aware that certain Group Scheduling Settings can affect the actions you are able to take and the information that is visible to Faculty/Staff members in your Group:
- Hide Other Users' Schedules: If enabled, users with faculty/staff role cannot see or modify other faculty/staff schedules.
- Allow Front Desk Agents to Schedule Group Meetings: Enables Front Desk Agents to create meetings with multiple attendees from the calendar for this group.
Glance: The Glance View allows you to quickly see the schedules of the Faculty/Staff members in your Group. It is similar to the Day View, but without the details of Office Hours and Events displayed on the Group Calendar.
This view is designed for viewing purposes only, allowing you to quickly glance at the schedules of the Faculty/Staff members in your Group. In this view, you won't be able to take any actions such as creating Workshops or viewing Appointment Details.
Check-In & Details: The Check-In & Details calendar view allows you to see the appointment details for the upcoming day, including information such as the time, location, and participants involved in each appointment. This view provides a comprehensive overview of all scheduled appointments for your Group, allowing you to stay organized and prepared for the day ahead.
Personal Calendar Views
To adjust your Personal Calendar view, navigate to My Calendar in the Scheduling tab on the left-hand side navigation menu, or click on the Office Hours & Settings tab within your Settings & Documents section. Click on the dropdown located next to the Personal Calendar Settings icon (the two small gears):
You have the option to view your Office Hours, Appointments/Events, Busy Events, Schedule Exceptions, and Synced Events in three different formats. By default, your calendar will be shown in the Week view:
Please note that you cannot create or make changes to scheduled Appointments/Events from your Personal Calendar. However, you can still create, edit, and delete Office Hours and Busy Events (both recurring and non-recurring) using this calendar.
You have the option to select which Group events you want to display in your Personal Calendar, as well as the specific types of events you want to view:
Office Hour Group: If a user has been assigned as a Faculty/Staff member in one or more Groups, they will see the Group title displayed in this section. Users can choose the radio button next to the Group events they wish to see on their calendar. Alternatively, they can opt for "All Groups" to view events from all Groups they are associated with.
Show Event Type: Choose which types of events you want to see on your calendar by selecting or deselecting the box next to the Event Type.
