Drip campaigns offer a powerful solution by enabling institutions to deliver targeted, personalized messages to students over time. Let's explore how drip campaigns can be utilized to enhance student engagement and support their academic journey.
Accessing Drip Campaigns
Start by navigating to your CRM & Cohort Messaging center and clicking on "Email Campaigns":
Then, click on the "Drip Campaigns" tab at the top of your screen:
You will find a list of current campaigns in the table, giving you the option to create a new campaign as well. Within this table, you can easily manage the Group/Staff assigned to a Drip Campaign and make edits to the content of an existing campaign.
Creating a New Drip Campaign
To create a new Drip Campaign, start by clicking the "Create Campaign" button. This will redirect you to a new page where you can begin building your campaign. At the top of the page, you will find a field where you can input a title for your campaign. Additionally, there are 3 dropdown menus that offer automated choices for ending your campaign depending on the actions taken by the students:
- End Campaign When User Schedules a Meeting with Member of Following Group: The dropdown menu will show a list of school groups for you to select from, or you can manually enter the name of the group you want. Choosing a group here means that when a student schedules a meeting with a member of that selected group, the campaign will come to an end for that student.
- End Campaign When User Completes Form: Choose a Registration Form from the dropdown menu, or manually enter the form's name into the text field. Selecting an option here means that once a student completes the selected Registration Form, the campaign will end for the student.
- End Campaign When User Completes Milestone: Select or type the title of a specific Milestone that a student needs to achieve to end the campaign. Once the student completes the Milestone, they will be removed from the Drip Campaign.
In the following section of your Drip Campaign, you can begin outlining and setting up your campaign steps. With each step you add to your campaign, you have the flexibility to customize it according to your campaign's needs and requirements. Feel free to add as many steps as necessary to meet your objectives and engage with students effectively.
- 1. Step Number: The campaign step number will be clearly displayed at the top of the page, making it easy for you to identify and customize each step accordingly.
- 2. Email Subject: For email campaigns, provide a subject line for your email in this text box.
- 3. Message: Here is where you can create the content for your email message.
- 4. Notification Types: Choose the Notification Type(s) that best suit how you want your message to be delivered. This feature allows you to select multiple notification types so you can send your message in various ways.
- 5 & 6. Delay Before Next Step & Interval: Set the timing for the delay before moving on to the next step in your campaign. Input a number and choose a time frame from the dropdown menu: minutes, hours, days, or weeks.
- 7 & 8. Email Template Options & Email Template: To use an Email Template for a step in your campaign, check the box that says "Send Email From Template" and select a custom Email Template from the dropdown menu.
- 9. Add Step Here: Include additional steps in your campaign by clicking the "Add Step Here" button. Rearrange steps by clicking and dragging them as needed.
- 10. Delete Step: Remove steps from your campaign by clicking the "Delete Step" button.
- 11. Save Campaign: Click the "Save Campaign" button to save any changes made to your campaign.
It is important to remember that when selecting an Email Template from the dropdown menu, you must also check the "Send Email From Template" checkbox to ensure that the template is sent. Email Templates are highly customizable and must be created separately before being included in a campaign step.
After creating and saving the steps of your Drip Campaign, the new campaign will be displayed in the table and can be started for an Audience Segment that you have established.
Assigning Groups/Staff Members to a Drip Campaign
Easily assign a group or individual staff members to manage a Drip Campaign. Any emails students send in reply to a campaign message will be automatically directed to the assigned group(s) or staff for streamlined management and timely responses.
On the Drip Campaign page within your CRM Messaging center, you will see a "Manage Advisors" option listed for each Drip Campaign:
This will redirect you to the Drip Campaign Advisors page where you can assign Groups/Staff members. Click on the "Attach Group or Staff" button to open a pop-up window where you can choose a Group from the dropdown. This process is similar to attaching Groups/Staff in other parts of ConexED, allowing you the flexibility to assign either an entire group or individual staff members through a group selection:
