How to Create an Appointment From the Group Calendar

This article applies to the following role permissions: ConexED Administrator - Director - Group Manager - Faculty/Staff - Front Desk Agent

As a Front Desk Agent or higher, you can easily schedule a appointments for a Faculty/Staff member in your group directly from the Group Calendar. 

Accessing the Group Calendar

Start by selecting your Group from the Scheduling tab on the left side navigation menu:

By default, the Group Calendar tab will be automatically selected for you:

As a Front Desk Agent or higher, you have the ability to schedule appointments on a Faculty/Staff member's calendar during their designated Office Hour blocks for the group. Please note, Faculty/Staff members and above have the flexibility to schedule appointments on their own calendar, for individual purposes, outside of those designated for the group Office Hours.

Creating an Appointment

To schedule an appointment, simply click on an available time slot within the designated group Office Hours on the calendar. You also have the option to click and drag to select a specific time slot for the appointment. When you perform either action, a pop-up for Event Creation will appear, allowing you to select "Appointment":

After clicking on the "Appointment" button in the Event Creation popup, you will be directed to the Create Meeting modal. Here, you can input all the necessary details for the appointment:

After entering all the necessary details in the Create Meeting modal, click on the "Create Meeting" button at the bottom of the modal to successfully schedule the appointment.

Recurring Appointments

When creating an appointment, you can opt to check the "Recurring" box in the Date section of the Create Meeting modal. With this feature, you can schedule recurring appointments within a specified date range on specific days. This option can save time and effort by automatically scheduling multiple appointments with the same details, making it convenient for both you and the Faculty/Staff member. 

 

If you choose the "Recurring" option, you will see additional fields where you can set an end date for the series of recurring appointments and select specific days for these appointments:

After clicking the "Create Meeting" button at the bottom of the modal, the appointments will be automatically scheduled on the chosen days within the specified date range.

 

Please note that certain Group Scheduling Settings may impact a user's capability to schedule appointments within a group:

  • Allow Front Desk Agents to Schedule Group Meetings: Grants front desk agents permission to create group meetings. If this setting is not enabled, Front Desk Agents will only be able to create one-to-one appointments from the Group Calendar
  • Disable Moderator Self-Scheduling: Restricts moderators from scheduling their own appointments within the group. If this setting has been enabled, Faculty/Staff members cannot create appointments on their own schedule from the Group Calendar.
