How to Create Reason Codes in the Scheduling Control Center
This video tutorial demonstrates how to create reason codes and explains the options and their meanings available during the creation process.
Users with the role of ConexED Administrator and Department Director can create reason codes in the Scheduling Control Center.
15 STEPS
1. Users with the role of Department Director or ConexED Administrator can create reason codes. To do so, navigate to the Scheduling tab, and click to open.
2. Click to open the Scheduling Control Center.
3. Click the 3rd tab to open the Reason Codes.
4. Scroll down to the appropriate category and click Manage Reason Codes to enter that category.
5. Click Create Reason Code.
6. First, enter a Reason Code ID. This is usually an abbreviation related to the category. For example, FA for Financial Aid. Please note: For California schools with a MIS export, enter the MIS code here.
7. Click in Display Title, and enter the title for this Reason Code.
8. Enter a brief Description here. This will appear as additional help text information when scheduling an appointment.
9. Select the desired Duration for this reason code. Please note, all fields below the Description box can be edited at the group level, to ensure flexibility as needed by each group for shared reason codes or workflow needs.
10. After adding a buffer, if desired, select the appropriate Role Boundary. A role boundary determines who can select the reason code on the scheduler. It is used to both simplify the scheduling process and create reported reason codes for specific use.
11. The checkbox options are used to indicate where the reason code will show to users. Each group workflow determines which options are needed at the group level.
12. Show in Appointment Details is always needed for reported reason codes (those with higher role boundary) and best practice is to select this for all reason codes. This permits users to verify scheduled codes and add detail with reported codes.
13. Please note: Default add to new groups places the created code into every group that is built. Unless the reason code created is a campus-wide shared reported reason code best practice is to create and have group managers add to groups individually.
14. Click Add to save the created reason code to the repository of codes available for group access and use on your campus.
15. That's it. You're done.
