Using the Assigned Advisor Feature

This article applies to the following role permissions: ConexED Administrator - Institution Administrator - Department Director - Group Manager - Faculty/Staff

The Assigned Advisor feature is designed with a clear purpose: to streamline the assignment of specific staff members to designated groups of students. This enhancement ensures that all student meetings and interactions are consistently directed to the appropriate advisor, providing a personalized and efficient support experience. By using this feature, staff members can easily filter within the CRM to focus on their assigned students, allowing for more individualized and effective student support.

How Advisors are Assigned

Assigned Advisors are integrated with the college's Student Information System (SIS), ensuring accurate and up-to-date advisor assignments. Advisors are matched to students based on the information in the SIS, which is refreshed nightly and can also be updated on demand. In order to change the advisor assigned to a student, simply update the information in the SIS and the changes will be reflected in ConexED.

Viewing a Student's Assigned Advisor

To view a student’s Assigned Advisor in ConexED:

  1. Navigate to the Student Lookup Search bar and enter the student’s nameSearch for Student

  2. Once the student’s profile appears, locate the Assigned Advisor box, which lists each advisor or advising committee assigned to the student.Student Details - Assigned Advisor

Filtering to Your Assigned Students within CRM

Users can filter to view only their assigned students in various tabs within the CRM:

  • My Students
  • Registration Forms
  • Milestone Completion Requests
  • Milestone Progress Alerts
  • Messaging Center
  • Cohort Notifications

CRM & Cohort Module

To use the Assigned Advisor filter:

  1. Navigate to the desired area in the CRM & Cohort Module
  2. Use the Assigned Advisor field to filter by advisor name
  3. Click "Search" to view assigned students

Optional: Limiting Student Self-Scheduling in Appointments and Milestones

With the Assigned Advisor feature, admins have the option to limit students assigned to specific advisors, or advising committees, to schedule appointments only with those staff members. This ensures that students can only schedule appointments with designated staff members. This setting applies to both Advising Group scheduling links and Appointment Milestones.

Note: Students can view the complete list of advisors in the Student Support Directory if the group has enabled the “Show in Student Support Directory” option.
