Understanding Lobby Chat Icons

This article applies to the following role permissions: ConexED Administrator - Director - Group Manager - Faculty/Staff

As a Faculty/Staff member or higher, you will have access to six different icons during a Lobby Chat. These icons are designed to improve communication and enhance your overall chat experience. 

Starting a Lobby Chat

To access the Lobby Chat icons, it is essential to know the process. When a student joins an unlocked Lobby either through a Knock on Door chat or a direct Lobby link, their student card will appear under the appropriate Lobby:

 

Student in LobbyFrom here, you have a few options to connect with the student. You can click on either the student card or the message bubble icon to invite the student to join the Lobby Chat, or you can click the "+" button to quick add the student to a private one-to-one meeting. It's important to note that if you bring a student into a private meeting using the "+" button on their student card, any chats exchanged between you and the student in the Lobby will not be saved.

Once you have initiated a Lobby Chat with the student, their student card will change color to dark grey:

During a Group Lobby Chat

When you initially join a Group Lobby Chat with a student and no messages have been sent, you will only have access to four out of the six available icons:

Once you have sent your first message to the student in the Group Lobby Chat, you will gain access to all six clickable icons:

Each of these icons serves a specific purpose and enhances your communication with students, making it easier, more efficient, and more effective. Let's take a closer look at the functions of these icons:

 

Lobby Chat Icon (1)  Invite the student into a private meeting: Clicking on the green "+" icon will automatically bring that student into a private meeting. When you use this "+" icon to bring a student into a meeting, any messages exchanged between you and the student                      in the Lobby will be saved. You and the student will be automatically redirected to a                          private cafe meeting.

Lobby Chat Icon (4) Send the student to another Lobby: You can use this icon to transfer the student to another Group Lobby or your Personal Lobby. For more detailed information on how to perform a lobby handoff, please refer to our article on performing a Lobby handoff

Lobby Chat Icon (3) Remove a student from the Lobby: If you remove a student from the Lobby, they will be unable to rejoin the Lobby for 30 minutes.

Lobby Chat (2) Open the Student Details page for this student: By clicking on this icon, a new browser tab will open, taking you directly to the Student Details page for the specific student within the Student Lookup tab for the appropriate Group.

Mark the Lobby Chat as a meeting and send the student to the End of Meeting Survey: This icon will mark the Lobby Chat as a meeting and will automatically direct the student to the group's End of Meeting Survey, allowing for                            easy feedback and evaluation.

Lobby Chat Icon (6)Mark the Lobby Chat as a meeting: This icon allows you to mark the Lobby Chat as a meeting without automatically directing the student to the group's End of Meeting Survey.

During a Personal Lobby Chat

It is important to note the key differences between the actions available in the Personal Lobby Chat and a Group Lobby Chat. In your Personal Lobby Chat with a student, you will have access to four out of the six available actions:

Personal Lobby Chat Icons

This is because Personal Lobby Chats are not associated with a Group. As a result, you won't be able to access the Student Details for the student from the group level, or direct them to an End of Meeting Survey if you mark the chat as a meeting. During a Personal Lobby Chat, you will have the option to:

  • Invite the student into a private meeting
  • Send the student to another Lobby
  • Remove a student from the Lobby
  • Mark the Lobby Chat as a meeting
